Standard operating procedure for ordering, receiving, storage and usage of lubricants.
1.0 Purpose
The purpose of this SOP is to establish a standard procedure for ordering, receiving, storage and usage of lubricants in pharma.
2.0 Scope
This SOP will be applicable for the procedure of ordering, receiving, storage and usage of commercial grade & food lubricants in the production department of pharma.
3.0 Responsibility
3.1 Ordering by production officer.
3.2 Purchase by Procurement Department.
3.3 Receiving by the store department.
3.4 Storage and usage by machine Operator.
3.5 QA officer ensures implementation of this SOP.
4.0 Procedure
4.1 Ordering Of Lubricants
4.1.1 The production pharmacist shall generate the purchase request for the required quantity of commercial and food-grade lubricants in the ERP/SAP system or manually.
4.1.2 The Pharmacist shall approve it from the production manager and send it to the procurement department.
4.1.3 The procurement department shall take quotations from vendors and after final selection should place the order.
4.2 Receiving Of Lubricants
4.2.1 The lubricants shall be received by the store in-charge.
4.2.2 The store in charge shall verify the quantity received against the purchase requisition.
4.2.3 The store in charge shall ask the production officer to verify the quantity as well.
4.2.4 The production officer shall check the quantity of lubricants and their COAs.
4.2.5 The production officer shall send a testing request to the QC department.
4.2.6 After QC release the lubricants are placed in the store area.
4.3 Storage Of Lubricants
4.3.1 The production officer shall generate in-house demand requisition to the store department.
4.3.2 The store in charge shall issue the required quantity of lubricants to the production department.
4.3.3 The production officer shall ensure that the release label is attached to all the lubricants.
4.3.4 The machine operator shall store the received lubricants in the tooling area.
4.3.5 Record the received quantity in the logbook with date & time.
4.4 Usage Of Lubricants
4.4.1 The machine operator shall routinely lubricate the machine parts.
4.4.2 The machine operator shall use food-grade lubricants for all the parts which have direct product contact.
4.4.3 The machine operator shall use the commercial grade lubricants for all the machine parts which have no direct product contact.
4.4.4 The machine operator shall record the lubricating activity in the log book.
